JOB SUMMARY 

The UConn-URI Navy STEM Coalition within the National Institute for Undersea Vehicle Technology (NIUVT) at the University of Connecticut, within the College of Engineering, seeks qualified applicants for an Administrative Program Support 2. The UConn-URI Navy STEM Coalition seeks to establish a long-term STEM pipeline program for naval-related careers in Southeast New England. The program engages STEM talent from K-12 through graduate school in innovative naval-focused activities and hands-on projects, including participation from the regional Navy community to provide early and frequent interaction and ultimately, retention of students from this community. Working under the direction of the program leadership, the successful candidate will work in coordination with existing program staff, to provide planning and administration to administer the newly funded Advancing Naval Careers Through Higher Education Outreach and Research (ANCHOR) contract awarded to the University of Connecticut. 

DUTIES AND RESPONSIBILITIES 

  • Provides support on a wide range of fiscal, administrative, and operational matters related to the management of the contract. 
  • Assists with human resource and payroll-related functions of program personnel (faculty, staff, student workers, special payroll employees, and graduate assistants).  
  • Compiles and maintains resource materials and program information from sponsored academic year and summer programs. 
  • Deliver direct support and assistance to students participating in sponsored activities. 
  • Assists with the financial operations of the Navy STEM Coalition, including purchasing, accounts payable, HuskyBuy, and Concur. 
  • Assists in communications/marketing for the Navy STEM Coalition including the social media accounts, website, and events calendar. 
  • Coordination of student and staff travel. 
  • Support Program Manager and Navy STEM Coalition team and partners in planning and implementing events for internal and external partners. 
  • Assists in the preparation of progress reports as appropriate to meet federal, state, University, and school requirements. 
  • Review records and transactions for accuracy, reconcile differences, and work with other staff and university officers to identify errors and make corrections.  
  • Act as a resource for information and procedures in assigned areas. 
  • Other duties as assigned. 

MINIMUM QUALIFICATIONS 

  • Bachelor’s degree and two years of related experience OR an equivalent combination of education and experience. 
  • Knowledge of financial or accounting practices and procedures. 
  • Demonstrated ability to work independently with the ability to solve problems efficiently and effectively. 
  • Demonstrated excellence with written professional communications across multiple media platforms (social media, newsletter, website content, internal and external communications, etc.) 
  • Proficient in the use of all MS Office applications. 
  • Excellent attention to detail, communication, organization, written and interpersonal skills.  

PREFERRED QUALIFICATIONS 

  • Experience in higher education. 
  • Experience working in STEM-focused environment. 
  • Demonstrated experience providing organizational support in a team environment.  
  • Experience working in a fast-paced, complex, multi-faceted office environment. 
  • Familiarity with enterprise systems such as Kuali Financial Systems, Core-CT, HuskyBuy, and PeopleSoft. 
  • Ability to expertly manage time and deadlines, and juggle multiple competing priorities.
