JOB SUMMARY

Under the direct supervision of the Assistant Director of Academic Affairs Business Services, the Financial Assistant 1 position completes administrative and financial transactions for the Academic Affairs Business Services Center and assigned departments supported by the Business Services Center. The incumbent will also support financial projects as assigned by the Assistant Director of Academic Affairs Business Services. The incumbent will address private, controversial, and highly sensitive data, coupled with the requirement to coordinate multiple projects with accuracy and short timelines, and will require a high level of independent troubleshooting and problem-solving in a fast-paced environment.

DUTIES AND RESPONSIBILITIES

1) Provides financial, payroll, and administrative support for assigned area(s).

  • Provides system support for student and staff searches, which includes navigating PageUp and JobX, working with search committees to ensure they collect necessary information, and providing guidance to search committee chairs on hiring best practices.
  • Processes payroll transactions, including tax documents required as part of onboarding.
  • Submits, reviews, and approves all aspects of purchasing, including Personal Service Agreements, disbursement vouchers, sole source justifications, and requests for proposals.
  • Tracks financial commitments, analyzes and verifies details of transactions, and completes reconciliations to maintain accurate financial records.
  • Serves as fiscal officer of assigned units to complete operating and Foundation financial transactions and provide approvals for use of funds, ensuring compliance with University policies and procedures.
  • Uses university systems to provide regular and ad hoc financial reports for assigned units.
  • Monitors expenditures for compliance with approved budget limits.
  • Provides guidance on procedures for travel-related requests to assigned units.
  • Processes mileage and other reimbursements that do not require schedule coordination.

2) Collaborates effectively with assigned areas

  • Explains the purpose of policies and procedures, any necessary steps needed from the unit, and the business impact of financial and administrative processes.
  • Communicates regularly with other University offices and/or outside constituents to research needed information or to clarify procedures.
  • Responds to Business Services inbox requests efficiently and effectively, with the ability to independently prioritize requests based on audience and urgency; maintains privacy regarding all requests.

3) Supports the Assistant Director of Academic Affairs Business Services to develop internal procedures, assist with team coverage, and complete financial projects as needed.

  • Performs related duties as required.

MINIMUM QUALIFICATIONS

  • Bachelor’s degree in accounting, finance, business, or a related field.
  • One year of experience in accounting, finance, or a related area.
  • Excellent written and verbal communication skills and interpersonal skills.
  • Excellent attention to detail and organizational skills.
  • Demonstrated customer service skills.
  • Excellent computer skills with experience in MS Office Suite including Excel. 

PREFERRED QUALIFICATIONS

  • Experience working in a higher education setting.
  • Ability to follow established procedures and compile new ones.
  • Proven time management skills in a fast-paced high-volume environment.
  • Ability to engage, connect, and work with diverse student, administrative, and faculty populations and provide a commitment to the values of diversity, equity, and inclusion.

APPOINTMENT TERMS

This is a full-time, in-person position. The University offers a competitive salary, outstanding benefits including employee and dependent tuition waivers at UConn, and a highly desirable work environment. Salary will be commensurate with the successful candidate's background and experience. Other rights, terms, and conditions of employment are contained in the collective bargaining agreement between the University of Connecticut and the University of Connecticut Professional Employees Association (UCPEA).
