JOB SUMMARY

Under the direction of the Director of Experiential Global Learning (EGL), and as part of the EGL team, the EGL Administrative Program Support 1 will assist in various administrative, personnel, maintenance, and procedural functions of EGL.

DUTIES AND RESPONSIBILITIES

  • Manage central communications for EGL, including answering the phone, responding to the EGL email account, greeting visitors, and handling mail.
  • Advise walk-in students, parents, faculty, and staff with basic questions about EGL programming and processes.
  • Book reservations, rooms, catering, logistics, and supply orders for EGL meetings and events.
  • Coordinate presentation requests, assist with booking reservations, organizing the events calendar, and preparing materials for various events, including classroom presentations, open houses, and information sessions.
  • Coordinate travel, schedules, meals, and logistics for campus visitors.
  • Manage office communications with the university community and external partners, including acceptance and commitment letters, partner information sheets, and group emails.
  • Administer the course alignment system, including the curation of grade scales, transcript processing, and resolution of all student credit issues and concerns.
  • Manage all financial records and student billing matters in conjunction with the Director.
  • Support the Director and Operations Team with program cancellations and withdrawals.
  • Enroll students in custom programs courses and all students’ off-campus course placeholders.
  • Order insurance for EGL program participants.
  • Other duties as assigned.

MINIMUM QUALIFICATIONS

  • Associate’s degree in a related field and at least two years of related experience. 
  • Ability to relate well to diverse students, faculty, and staff, especially in a team setting.
  • Ability to use the Microsoft Office and Adobe Suites.
  • Excellent oral and written communication skills.
  • Excellent intercultural communication skills.
  • Ability to prioritize workload to complete multiple tasks simultaneously, successfully, and in a timely and efficient manner.

PREFERRED QUALIFICATIONS

  • Bachelor's degree from an accredited institution.
  • Knowledge of PeopleSoft software.
  • Previous experience working in a higher education setting.
  • Experience working in study abroad and international education.
  • Experience studying, living, or working in a foreign country.

APPOINTMENT TERMS

This is a full-time, end-dated position subject to annual renewal based on funding and performance. Salary will be commensurate with the successful candidate's background and experience. Other rights, terms, and conditions of employment are contained in the collective bargaining agreement between the University of Connecticut and the University of Connecticut Professional Employees Association (UCPEA).
