JOB SUMMARY
The University of Connecticut is seeking applications and nominations for the position of Director of Athletics Personnel Operations. This position provides comprehensive HR support for UConn Athletics, serving as a key resource for recruitment, onboarding, personnel actions, and employee lifecycle processes. This position coordinates full‑time staff searches, prepares and processes a variety of personnel documents, and ensures compliance with University, State, and collective bargaining policies. The incumbent serves as the primary HR contact for Athletics on a range of personnel matters, maintains accurate HR records and communication lists, and supports the division through data tracking, documentation management, and special projects. The role requires strong attention to detail, confidentiality, and the ability to work collaboratively with Athletics leadership, University Human Resources, and departmental staff. This position will support the athletics executive team and report to the Associate Athletic Director for Strategic Initiatives and the Senior Associate Athletic Director for Financial Affairs.
DUTIES AND RESPONSIBILITIES
- Coordinates all full‑time staff searches for UConn Athletics in PageUp, including creating postings, managing applicant workflow, and ensuring timely progression through each stage of the recruitment process.
- Exercise discretion in handling confidential matters, ensuring team compliance with privacy guidelines and protecting sensitive organizational and personnel information.
- Assists with the placement of recruitment advertisements and updates the Athletics Job Opportunities website and Athletics Staff website.
- Communicates with and supports search committees to ensure adherence to University Search and Hiring Guidelines throughout the recruitment process.
- Prepares and processes offer letters, renewal letters, graduate assistant letters, gratis appointment letters, and salary adjustments for Athletics staff, ensuring accuracy, appropriate routing, and timely distribution.
- Oversees and updates the onboarding process for new hires, ensuring they attend New Employee Orientation.
- Independently submits and monitors all special payroll appointments and data‑change requests for the division in PageUp, ensuring accuracy, compliance, and timely processing.
- Coordinates the preparation, review, and processing of employment contracts for head and assistant coaches, ensuring accuracy, compliance, and timely execution.
- Oversees the timely and accurate processing of employee separations and offboarding tasks, ensuring all required documentation and workflows are completed.
- Serves as the primary HR contact for Athletics on personnel actions such as career progressions, reclassifications, title changes, leave requests, TSI requests, policy inquiries, and required background checks for outside consultants, volunteers, and speakers.
- Oversees compliance with UCPEA performance evaluation timelines by tracking due dates and ensuring supervisors complete required 6‑month, 1‑year, and annual evaluations in Kuali.
- Provides day‑to‑day administrative support for human resources functions within UConn Athletics, maintaining accuracy, confidentiality, and adherence to University policies and procedures.
- Serves as a resource to Athletics staff on personnel procedures, remaining up to date on relevant University policies, HR practices, and contractual requirements.
- Assists with gathering and organizing documentation for FOIA (Freedom of Information Act) requests.
- Prepares correspondence, forms, and communications related to HR processes and departmental updates.
- Maintains organized records of all HR activities, transactions, and documentation.
- Maintains Athletics all‑staff email distribution lists to ensure accurate and up‑to‑date communication groups.
- Assists with special projects, process improvements, and departmental initiatives as assigned.
- Provides administrative support for HR and departmental activities, including coordinating occasional recognition‑related logistics as needed.
- Assists with recruitment communications, including responding to applicants for special payroll, internship, and volunteer positions.
MINIMUM QUALIFICATIONS
- Bachelor’s degree.
- 2+ years of related experience working in a professional setting.
- Proficiency in Microsoft Suite (Outlook, Word, Excel, etc.).
- Interpersonal, organizational, written and verbal communication skills.
PREFERRED QUALIFICATIONS
- Master’s degree.
- Experience working in a human resources position.
- Demonstrated working knowledge of NCAA regulations.
- Experience working in college athletics setting.
- Prior experience handling sensitive information and projects.
- Familiarity with PageUp or a similar applicant tracking system.
- Previous experience writing offer letters and other personnel-related documents.
