JOB SUMMARY

The UConn-URI Navy STEM Coalition, part of the National Institute for Undersea Vehicle Technology (NIUVT) within UConn's College of Engineering, seeks qualified applicants for an Administrative Program Support 1 or 2. The UConn-URI Navy STEM Coalition seeks to establish a long-term STEM pipeline program for naval-related careers in Southeast New England. The program engages with students ranging from elementary school to graduate school in innovative naval-focused activities and hands-on projects, including participation from the regional Navy community to provide early and frequent interaction and ultimately, retention of students from this community. Working under the direction of the program leadership, the successful candidate will work in coordination with existing program staff to provide planning and administrative support for the Advancing Naval Careers Through Higher Education Outreach and Research (ANCHOR) contract awarded to the University of Connecticut.  

DUTIES AND RESPONSIBILITIES

  • Provides support on a wide range of fiscal, administrative, and operational matters related to the management of the Advancing Naval Careers Through Higher Education Outreach and Research (ANCHOR) contract.  
  • Assists with human resource and payroll-related functions of program personnel (faculty, staff, student workers, special payroll employees, and graduate assistants).  
  • Compiles and maintains resource materials and program information from sponsored academic year and summer programs.  
  • Delivers direct support and assistance to students participating in sponsored activities.  
  • Assists with the financial operations of the Navy STEM Coalition, including purchasing, accounts payable, HuskyBuy, and Concur.  
  • Reviews records and transactions for accuracy, reconciles differences, and works with other staff and university officers to identify errors and make corrections. 
  • Coordinates student and staff travel.  
  • Performs other duties as assigned. 

 Additional Duties and Responsibilities for Administrative Program Support 2 

  • Assists in communications/marketing for the Navy STEM Coalition, including the social media accounts, website, and events calendar.  
  • Supports the Senior Program Manager and the Navy STEM Coalition team and partners in planning and implementing events for internal and external partners.  
  • Assists in the preparation of progress reports as appropriate to meet federal, state, University, and school requirements.  
  • Act as a resource for information and procedures in assigned areas.  

MINIMUM QUALIFICATIONS

  • Associate’s degree in a related field and 2-3 years of related experience. An equivalent combination of education and/or experience may be substituted for the degree and years requirement. 
  • Demonstrated effective and clear written and verbal communication. 
  • Experience working both independently and in a team setting while regularly exercising sound judgment. 
  • Experience utilizing interpersonal skills and establishing positive working relationships with co-workers. 
  • Demonstrated organizational skills and attention to detail. 

Additional Minimum Qualifications for Administrative Program Support 2 

  • Bachelor’s degree and two years of related experience OR an equivalent combination of education and experience.  
  • Demonstrated knowledge of financial or accounting practices and procedures.  
  • Experience creating written professional communications across multiple media platforms (social media, newsletter, website content, internal and external communications, etc.).
  • Experience with all MS Office applications. 

PREFERRED QUALIFICATIONS

  • Experience in higher education.  
  • Experience working in a STEM-focused environment.  
  • Demonstrated experience providing organizational support in a team environment. Experience working in a fast-paced, complex, multi-faceted office environment. 
  • Familiarity with enterprise systems such as Kuali Financial Systems, Core-CT, HuskyBuy, and PeopleSoft.  
  • Proven ability to expertly manage time and deadlines, and juggle multiple competing priorities. 

APPOINTMENT TERMS

This is a full-time, end-dated appointment. Other rights, terms, and conditions of employment are contained in the collective bargaining agreement between the University of Connecticut and the University of Connecticut Professional Employees Association (UCPEA).
