JOB SUMMARY

Under the direction of the Student Union Business Services Manager, the Business Services Coordinator will provide leadership, oversight, and coordination for multiple essential services and operations within the scope of business support for the Student Union. The primary responsibilities include leading the centralized student employment program, managing the Department’s student human resource functions, providing direct management of The Game Room and Information Center, managing the Department’s website and social media platforms, and providing backup administrative support for all departmental Human Resource needs.

DUTIES AND RESPONSIBILITIES

  • Manage the daily operations of the Information Center and Doug Bernstein Game Room (Game Room) in the Student Union.
  • Direct supervisor for the Information Center and the Game Room student staff; which includes selection, onboarding, training, development, and supervision; responsible for evaluating student staff performance, maintaining student staff schedules, and coordinating workflow; coordinates with other staff supervisors where student staff responsibilities intersect; responsible for developing learning outcomes for student staff and completing assessment projects to evaluate the success of these efforts.
  • Assists the Business Services Manager with the coordination of the centralized Student Union student staff hiring program by:
    • Providing administrative support.
    • Coordinating with the UConn Student Employment office.
    • Coordinating and executing new hire marketing and the initial application management and distribution process, after collaborating with student staff supervisors to get information about hiring needs for each area.
    • Ensuring University and departmental requirements are met for one-time, annual, and periodic training (e.g. CPR, OSHA, Active Threat, Diversity, Sexual Misconduct prevention) for student personnel related to their position requirements.
  • Assists the Student Union Leadership Team by providing marketing and website administrative support for the Department by:
    • Assisting with the development and execution of the department marketing plan.
    • Scheduling and executing the Department's social media marketing plan, working directly with various social media platforms (e.g. Instagram, Facebook, Twitter), based on the approved plan by the Student Union Leadership Team.
    • Managing and providing support for the Department website, in coordination with the Student Union Leadership Team and the AV and Technology Services Team.
  • Serves as a fiscal support assistant, assisting the Business Services Manager with various budget and fiscal-related responsibilities as needed.
  • Assists as needed and serves as a backup for all departmental human resource support responsibilities.
    • Assists in managing departmental searches and hiring processes, including posting job announcements, coordinating interviews, and facilitating hiring documentation.
    • Ensures compliance with university human resource policies and procedures throughout the hiring and onboarding process.
    • Collaborate with the Facilities Operations Manager to coordinate and maintain accurate custodial staff schedules in addition to providing support with other administrative needs.
  • Reviews operating procedures for efficiency and effectiveness; collaborates with the Business Services Manager and recommends changes for improvement; participates in the planning and decision-making process regarding new or changed procedures; interprets and implements policies as established by the supervisor; establishes operational procedures to implement policies.
  • Responsible for enforcing departmental and University policies and procedures in all matters pertaining to the Student Union.
  • Supports an environment that encourages, values, and delivers outstanding customer services.
  • Represent the Department and serve on university committees in coordination with the Business Services Manager or the Director.
  • Performs related duties.

MINIMUM QUALIFICATIONS

  1. Bachelor's degree in business, hospitality, recreation, education, or related field.
  2. Two to three years of professional experience in a directly related position.
  3. Experience using Office 365 or related applications, such as Microsoft Word and Outlook, to perform administrative tasks such as document creation, email communication, scheduling, and data management.
  4. Demonstrated interpersonal skills including the ability to work effectively with students, faculty, and staff in a diverse and multi-cultural community.
  5. Experience resolving administrative problems independently, efficiently, and effectively.
  6. Demonstrated planning and organizational skills.
  7. Experience communicating clearly and effectively in both oral and written formats, including drafting reports, delivering presentations, and corresponding professionally with diverse audiences.  
  8. Demonstrated understanding of equity and access in the delivery of services.

PREFERRED QUALIFICATIONS

  1. Demonstrated experience working in a college or university setting.
  2. Demonstrated experience supervising and training full-time and/or part-time staff in a customer service environment.
  3. Demonstrated decision-making skills in a complex organization.
  4. Demonstrated experience developing and implementing a marketing plan for a business, organization, or company with a customer service focus.
  5. Demonstrated experience coordinating, scheduling, and executing social media marketing plans, working with various social media platforms (e.g. Instagram, Facebook, Twitter).
  6. Demonstrated experience with website development and management.

APPOINTMENT TERMS

This is a full-time, 12-month, UCPEA position with outstanding benefits, including employee and department tuition waivers at UConn, and a highly desirable work environment.
