JOB SUMMARY 

The University of Connecticut, Information Technology Services (ITS) Department, seeks a Microsoft 365 Administrator for the Email and Collaboration Team.  The Microsoft 365 Administrator will be primarily responsible for managing and implementing Data Loss Prevention (DLP) strategies within the M365 environment via Microsoft Purview and providing backup support for other Microsoft 365 services.  The successful candidate will actively engage in hands-on technical work, ensuring compliance standards and best practices are maintained.

Candidates should have a solid understanding of Microsoft 365 services, application design, and enterprise email services.  Effective communication skills and the ability to maintain collaborative relationships with technical teams and business stakeholders across the University are essential.

DUTIES AND RESPONSIBILITIES

  • Implement and maintain Data Loss Prevention (DLP) strategies to ensure compliance with university policies and security best practices.
  • Designs, architects, and administers M365 services, including Email, SharePoint, Teams, and Microsoft Purview
  • Ensure strong security posture and system reliability for critical infrastructure and services
  • Communicate with stakeholders, IT professionals and the University community regarding email services.
  • Set direction and define technologies for infrastructure, applications, automation, and integration
  • Manage team projects
  • Documentation & Policy: Create and maintain technical documentation, including standard operating procedures and security policies.
  • Collaboration: Work closely with IT colleagues, and stakeholders across different teams to meet project objectives and resolve issues.
  • Continuous Improvement: Stay informed about emerging Microsoft 365 technologies and recommend improvements for the environment.
  • Additional Duties: Perform other related tasks or projects as assigned to support the email team.

MINIMUM QUALIFICATIONS FOR THE SYSTEM ADMINISTRATOR 1 LEVEL

  • Education & Experience
    • Six (6) years of directly related IT experience, OR
    • Associate’s degree plus four (4) years of related experience, OR
    • Bachelor’s degree plus two (2) years of related experience.
  • Familiarity with Core M365 Services: General understanding of Exchange Online, Teams, SharePoint Online, and OneDrive functionality from an administrative or power-user perspective.
  • Basic Troubleshooting Skills: Able to identify and resolve common user issues (e.g., licensing issues, access problems, Teams connectivity).
  • Understanding of User & Group Management: Ability to follow procedures for managing users, groups, and permissions in M365 and Entra.

PREFERRED QUALIFICATIONS FOR THE SYSTEM ADMINISTRATOR 1 LEVEL

  • Microsoft Entra (Azure AD) Familiarity: Familiarity with user administration, role-based access control, conditional access policies, and security best practices.
  • Understanding of DLP topics such as Sensitivity Labels, Retention Policies, and Encryption
  • Navigating and performing basic tasks like license assignment, mailbox management, and Teams configuration.
  • Higher Education Experience: Previous experience in a higher education IT environment.

ADDITIONAL MINIMUM QUALIFICATIONS FOR THE SYSTEM ADMINISTRATOR 2 LEVEL

  • Education & Experience
    • Eight (8) years of directly related IT experience, OR
    • Associate’s degree plus six (6) years of related experience, OR
    • Bachelor’s degree plus four (4) years of related experience.
  • Hands-on experience administering and configuring core M365 services (Exchange Online, Teams, SharePoint Online, OneDrive), including managing mail flow, retention policies, Teams configurations, and site permissions.
  • Capable of independently diagnosing and resolving moderate to complex service or configuration issues, leveraging tools like Microsoft 365 Admin Center, Message Trace, and Azure AD logs.
  • Microsoft 365 Purview Knowledge: Administering Purview (or similar DLP solution) for Data Loss Preventions.
  • Basic PowerShell proficiency: Ability to use the CLI and string commands together to streamline M365 tasks.

ADDITIONAL PREFERRED QUALIFICATIONS FOR THE SYSTEM ADMINISTRATOR 2 LEVEL

  • Familiarity with compliance frameworks like NIST 800-53, CMMC, etc.
  • Experience working with Information Security Offices and IT policies and procedures
  • Experience with Threat explorer, EOP policies etc.
  • Experience with Compliance Management and building security score in Purview
  • Advanced PowerShell Proficiency

ADDITIONAL MINIMUM QUALIFICATIONS FOR THE SYSTEM ADMINISTRATOR 3 LEVEL

  • Education & Experience
    • Ten (10) years of directly related IT experience, OR
    • Associate’s degree plus eight (8) years of related experience, OR
    • Bachelor’s degree plus six (6) years of related experience.
  • Expert-level proficiency in planning, deploying, and optimizing M365 services across the enterprise. Able to implement advanced configurations, troubleshoot service-wide issues, support hybrid deployments, and advise on service governance and lifecycle management.
  • Leads root cause analysis of complex or systemic issues affecting M365 services. Proficient with PowerShell for diagnostic and remediation tasks and experienced in engaging Microsoft Premier Support or managing escalations.
  • Experience leading the administration and optimization of Microsoft Purview (or equivalent DLP tools), ensuring enterprise-wide data protection and compliance. 

ADDITIONAL PREFERRED QUALIFICATIONS FOR THE SYSTEM ADMINISTRATOR 3 LEVEL

  • Task Coordination/Project Management: Experience managing technical tasks, assignments, or small projects with cross-functional teams.
  • Proven ability to lead cross-functional technical initiatives, manage timelines, and deliver outcomes on mid-size to large-scale projects.
  • Experience designing and implementing automated workflows to streamline business and IT operations using tools such as Power Automate, Logic Apps, or scripting.
  • Including custom DLP policies, Insider Risk Management, Information Protection, and eDiscovery.
  • Advanced experience working with Microsoft Graph APIs or other automation mechanisms for M365
  • Design scalable, secure, and compliant solutions across services.
