JOB SUMMARY

The Korey Stringer Institute (KSI), part of the Department of Kinesiology in the College of Agriculture, Health and Natural Resources, at the University of Connecticut, seeks applicants for a full-time Administrative Program Support 1.

The Administrative Program Support 1 position supports the day-to-day operations of the Korey Stringer Institute (KSI), including supporting research studies, event planning, service projects, and advocacy work. The successful candidate will perform the routine administrative functions of the office; coordinate workflow and process administrative paperwork; provide financial support to KSI; are responsible for regular communications with university offices and outside agencies to request or provide information or to clarify procedures; and perform other duties as assigned. The successful candidate must have administrative skills and the desire to contribute to the business operations of KSI, as well as be open-minded, efficient, process-oriented, organized, and customer service driven. The position will report to the CEO of the Korey Stringer Institute and will be based on the Storrs Campus.

About the Institute

The Korey Stringer Institute’s mission is to provide research, education, advocacy, and consultation to maximize performance, optimize safety and prevent catastrophic injury for the athlete, warfighter, and laborer.

DUTIES AND RESPONSIBILITIES 

  • Serve as the main point of contact for the Korey Stringer Institute (KSI) at its Gampel Pavilion location.
  • Facilitate inquiries from central offices.
  • Provide administrative support to KSI Director and faculty.
  • Maintain schedules for managers, supervisors, and other personnel. Schedule meetings, conferences, and day-to-day travel for the Institute; process paperwork and reimbursements.
  • Assist the CEO of KSI with drafting and disseminating interdepartmental communications.
  • Responsible for purchasing, including Pro-Card purchases, and maintaining all associated records.
  • Responsible for MarketPlace order fulfillment for department entrepreneurial services.
  • Communicate gift receipts to donors for the Department received through Foundation funding; process RFD and transfers through the Papersave system.  
  • Provide guidance and support to undergraduate student workers, including the hiring process and coordinating schedules.
  • Assist with communications/marketing for the KSI and its programs.
  • Responsible for facility maintenance needs and issues for the Gampel Pavilion location.
  • Submit work orders and supervise the work and completion of repairs or maintenance needed.
  • Handle, process, and coordinate requests to access labs for faculty, students, and staff.
  • Other related duties as required.

MINIMUM QUALIFICATIONS 

  1. Associate’s degree and two to three years of related experience or equivalent combination of education and experience.
  2. Experience with fiscal or bookkeeping functions in the daily operations of an office or organization.
  3. Demonstrated experience working in a highly demanding and fast-paced office environment.
  4. Demonstrated interpersonal skills and experience working with individuals of diverse backgrounds.
  5. Demonstrated verbal and written communication skills.
  6. Demonstrated organizational skills with attention to detail.
  7. Demonstrated customer service skills.
  8. Experience utilizing Microsoft Office applications.

PREFERRED QUALIFICATIONS 

  1. Bachelor’s degree in a related field, preferably in the medical/health field, and two years of related experience or equivalent combination of education and experience.
  2. Demonstrated experience using software, such as Concur and Huskybuy.
  3. Experience using Kuali Financial Systems, or similar.
  4. Accounts payable experience including reconciliations and use of basic accounting principles and arithmetic.
  5. Experience in a higher education/university setting.

APPOINTMENT TERMS

This is a full-time, one-year, end-dated position subject to renewal depending upon funding and performance.
