JOB SUMMARY

The Global Operations Coordinator (Administrative Program Support 3) supports the day-to-day operations of Global Affairs. Reporting to the Associate Vice President for Global Affairs, this role assists with administrative support, project management, and outreach efforts to inform and engage UConn’s students, faculty, donors, community members, and international partners about Global Affairs programs and services.

DUTIES AND RESPONSIBILITIES

  • Manage the calendar and travel logistics for the Associate Vice President for Global Affairs, including scheduling meetings, booking conferences, day-to-day travel, and handling related reimbursements.
  • Provide comprehensive administrative and program support, including coordinating special events and workshops, travel arrangements and reimbursements, purchasing, and supporting office logistics.
  • Monitor and interpret changes in international, federal, state and university policy changes to provide education and outreach to Global Affairs’ units.
  • Advise the Associate Vice President for Global Affairs on the full range of complex administrative and business matters related to programs and activities, such as communications with partner institutions’ leadership teams, international organizations, foreign diplomatic missions, and related federal and state agencies.
  • Serve as a source of information regarding the interpretation and application of policies and regulations governing Global Affairs’ activities and programs.
  • Support the implementation of marketing and outreach strategies across units and initiatives by assisting in the development of promotional materials that align with institutional branding and communication standards.
  • Ensure accurate recordkeeping through record review, discrepancy resolution, and coordination with staff and university offices to address errors.
  • Collaborate with the Data Analyst to prepare reports and informational articles for publication, and coordinate briefings with the Global Partnerships and Outreach office as directed.
  • Respond to inquiries and provide accurate information about Global Affairs programs, services, and resources in a timely and professional manner.
  • Perform related duties as required.

MINIMUM QUALIFICATIONS

  • Bachelor’s degree in a related field.
  • Three to four years of professional-related experience.
  • Strong organizational, recordkeeping, planning, communication, and interpersonal skills.
  • Proficiency in Microsoft Office.
  • Excellent written and oral communication skills.
  • Experience with financial records systems and financial policies, and procedures.
  • Familiarity with analytical tools (e.g., Tableau, SQL, Excel).
  • Demonstrated ability to collaborate effectively with diverse populations.
  • Demonstrated ability to work independently.
  • Demonstrated experience in maintaining confidentiality of information.
  • Demonstrated ability to work effectively in a fast-paced environment.

PREFERRED QUALIFICATIONS

  • Master’s degree earned or in progress.
  • Experience working in the Global Education field.
  • Experience in administrative/project management.
  • Experience updating policies, interpreting changes, and communicating their impact across various organizational settings.
  • Experience in managing complex projects.
  • Experience in social media platform utilization, website maintenance, and other communications strategies.
  • Experience abroad.

APPOINTMENT TERMS

This is a full-time position located at the Storrs campus. Other rights, terms, and conditions of employment are contained in the collective bargaining agreement between the University of Connecticut and the University of Connecticut Professional Employees Association (UCPEA).
