JOB SUMMARY

The UConn Office of University Events and Conference Services (UECS) is seeking an Administrative Program Support 2 position to join the staff of this high-profile, high-volume conference and event planning office. Under the direction of the Director, this individual manages and coordinates the administrative functions of the office. This self-directed individual takes initiative and maintains high-quality standards in their work with a strong attention to detail; continuously makes recommendations to improve customer service, office operations, and efficiencies; and enjoys learning new things and new technologies.

UECS is responsible for the management and execution of high-quality events, conferences, and programs for UConn.  In addition to planning and managing programs, the department oversees the booking of select spaces on campus, serves as a one-stop-shop resource for internal and external customers, provides consultation regarding spaces, protocol and policies, and guides customers through the event and meeting management process.  Complete information may be found at conferences.uconn.edu. 

DUTIES AND RESPONSIBILITIES

The successful candidate is a motivated, team-oriented professional who will perform administrative duties in support of the execution of department programs, fiscal activity, and human resources and labor relations matters. Examples include answering questions and responding to inquiries, tracking responses, placing orders, speaker logistics and paperwork, preparation of event and conference attendee materials, as well as check-in materials. This individual will provide day-to-day oversight of student work staff; may assist on-site at programs as needed, including evenings and weekends. 

MINIMUM QUALIFICATIONS

  1. Bachelor’s degree or equivalent combination of education and experience.
  2. At least 2 years of related experience.
  3. Experience managing and coordinating office operations. 
  4. Proven administrative abilities and skills. 
  5. Experience working under time constraints, consistently meeting deadlines. 
  6. Interpersonal and collaboration skills with the ability to engage effectively with diverse groups, including University employees, students, and external stakeholders.
  7. Demonstrated experience working independently under general supervision. 
  8. Demonstrated problem-solving, organizational, and communication skills.
  9. Proven computer skills, including knowledge of standard office software and a demonstrated aptitude for learning new programs.

PREFERRED QUALIFICATIONS

  1. 4 years or more of related experience in a progressively responsible administrative support position.
  2. Prior experience working at UConn.
  3. Knowledge of or prior experience working in the hospitality industry.
  4. Experience with the Microsoft Office suite of products to perform administrative tasks.
  5. Prior supervision of young adults.

APPOINTMENT TERMS

This is a full-time, permanent position. The hiring range for this position is $51,344 to $66,747 based on the candidate’s experience. The estimated start date is mid-July.
