JOB SUMMARY

Working collaboratively with the Dean’s Office personnel and Teacher Certification Program for College Graduates (TCPCG) colleagues, faculty, professional staff, and others, the Teacher Certification Program for College Graduates (TCPCG) Program Assistant performs a variety of administrative duties in support of an academic unit to ensure the effective implementation of its programs and/or activities on the Stamford Campus. This role provides administrative and programmatic support for TCPCG Stamford, including administering seminars, workshops, and other events as needed. This is a student-facing position that provides support to students.

DUTIES AND RESPONSIBILITIES

  • Attends all orientations, informational sessions for prospective students, required student meetings, or interviews that may extend beyond regular workday hours.
  • Assists the Director of TCPCG with administrative support for the program.
  • Respond to all inquiries for Stamford’s Teacher Preparation Program (TCPCG). This includes explaining program policies, procedures, and requirements.
  • Manages Special Payroll and other disbursements for summer TCPCG faculty, adjuncts, clinical supervisors, and support staff.
  • Supports instructors, including faculty and adjuncts, and students in person when classes are held on campus (summer session includes daily courses; fall and spring sessions include up to 6 Saturdays throughout the semester). This entails additional hours outside of the regular workday schedule and on weekends.
  • Responsible for all clinical placements (summer, fall, and spring) in the public school system which entails numerous contacts with the superintendent and human resources offices. Includes fingerprinting/background tracking, coordinating student teaching with school superintendents and principals, and initiating and monitoring MOUs (Memorandums of Understanding) with district partners.
  • First point of contact for admissions for TCPCG at Stamford: processes applications, audits transcripts, monitors compliance with admission requirements, provides information on needed coursework and placement tests, reviews admission application materials, coordinates and schedules interviews, and follows through with all applicant admissions, deferrals, and denial decisions.
  • Assists with coordinating the annual certification process for all TCPCG Stamford graduates.
  • Coordinates registration and scheduling of courses with the TCPCG Director and maintains accurate records of this.
  • Is responsible for rosters, grade reports, and academic records, ensuring all meet State of CT Department of Education certification requirements.
  • Schedules and monitors compliance with all certification and program requirements: Mandated Reporter Training, Dyslexia Training, Gifted and Talented Training, Active Threat Training, Bullying Training, Suicide Prevention Training, and certification exams (Foundations of Reading, Praxis II, ACTFL, and Praxis Core), as well as general education coursework requirements and subject area coursework requirements.
  • Collects program and student data and prepares reports for the Neag School of Education Dean's Office.
  • Fulfills all aspects of adjunct, faculty, and university supervisor contracts: completing dual employment forms, entering special payroll authorization requests, preparing offer letters,
  • facilitating the completion of I9s and providing tax forms and direct deposit information when needed. Also coordinates summer pay for full-time faculty and processes graduate student assistantships. Finally, enter all information into SmartHR via the CoreCT system.
  • Coordinates with offices of Student Affairs, Financial Aid, Admissions, and Advising to implement grant-funded activities that improve students' support systems at UConn Stamford and other educational institutions as applicable.
  • Arranges all Cooperating Teacher and Clinical Supervisor honoraria/payments, determining which system payments are processed through for each. Utilizing HuskyBuy supplier application and disbursement vouchers or the Special Payroll/SmartHR system as required.
  • Manages general office operations: processes and maintains necessary data, files, paperwork, and records on all applicants, enrolled students, and faculty compliance with State of Connecticut laws and requirements.
  • Serves as backup for Avery Point, Hartford, Waterbury, and IB/M teacher education programs.

MINIMUM QUALIFICATIONS

  1. Bachelor’s degree.
  2. Two to three years of related experience, providing administrative and/or programmatic support.
  3. Excellent interpersonal skills and the ability to work with diverse groups. Demonstrates sensitivity to and understanding of diverse academic, socioeconomic, cultural, disability, gender identity, sexual orientation, and ethnic backgrounds of college students, faculty, and staff.
  4. The ability to work effectively, and independently, and regularly exercise judgment regarding various administrative matters.
  5. The ability to work effectively as a team member.
  6. Excellent organizational, written, and verbal communication skills with attention to detail.
  7. The ability to work on weekends and evenings and occasionally travel to other campuses as needed is required.
  8. Excellent computer skills including Microsoft Office programs (e.g., Word, Excel, PowerPoint), and ability to schedule and hold virtual meetings via Microsoft Teams and WebEx.

PREFERRED QUALIFICATIONS

  1. Master’s degree.
  2. Bilingual and biliteracy skills in Spanish/English.
  3. Minimum of two (2) years of teaching or counseling experience in public higher education and/or data analysis and system technical support.
  4. Experience in federal grant project management, including U.S. Department of Education grants (Title III, Title V, TRIO).
  5. Experience working in a higher education institution and with students and faculty.
  6. Experience with historically marginalized populations in the education field.
  7. Demonstrated ability to learn and adapt to new software/procedures as needed.
  8. Familiarity with Kuali, CORE, PageUp, HuskyBuy, HuskyCT, SIS, and Perceptive Content.
