JOB SUMMARY

The School of Business Ph.D. Program is seeking a part-time Administrative Coordinator (Administrative Program Support 2).  The incumbent will report to the Ph.D. Program Director and will perform office coordination duties, provide administrative support and coordination, and assist in executing business functions for the School of Business Ph.D. Program.  The position will be 28 hours per week and based at the Storrs campus.  There may be minimal travel to other UConn campuses and may require nights or weekends for special events. 

DUTIES AND RESPONSIBILITIES

Include but are not limited to:

  • Performing office coordination duties; directing workflow and handling the processing of administrative and personnel paperwork as well as administrative matters for the director as assigned.
  • Coordinating administrative and technical support as well as program logistics for faculty, staff, and students.
  • Coordinating the student registration and admissions process.
  • Assisting with planning, coordination, and execution of program events related to orientation, awards reception, graduation, speaker series, recruiting visits, etc.
  • Coordinating administrative paperwork for visiting scholars and international students. 
  • Collecting and compiling program and student data for reports to aid in evaluating program effectiveness and student progress.
  • Assisting with budget preparation and comparing expenditures with the approved budget.
  • Reconciling program pro-card statement, financial records using KFS reports and/or UConn Foundation reports; preparing and processing all fiscal-related activity.
  • Hiring, supervising, and training student support staff as necessary, determining work assignments and work schedules.
  • Representing the program and serving as a resource to faculty, staff, students, and others; responding to inquiries related to the program.
  • Coordinating travel arrangements for program staff, instructors, guest speakers, etc.
  • Recording notes to create and distribute minutes for monthly Ph.D. Faculty Coordinator meetings.
  • Assisting with scheduling BADM 6201 and econometric/writing workshops.
  • Creating graduate assistant offer letters using template and processing payroll transactions for graduate assistants.
  • Initiating special payroll requests for instructors teaching in the programs.
  • Ensuring that admitted doctoral students have met the English language requirements for instructional contact as teaching assistants. This includes tracking students’ test of English and additional English language classes, if necessary.

MINIMUM QUALIFICATIONS

  • Bachelor’s degree in a related field and two (2) years of related experience. An equivalent combination of education and experience may be substituted for the degree and years requirement.
  • Demonstrated excellent verbal and written communication skills including the ability to work effectively with University staff, faculty, students, and external constituents.
  • Demonstrated organizational skills and ability to resolve administrative problems efficiently, effectively, and independently.
  • Demonstrated experience planning, coordinating, and executing events.
  • Demonstrated ability to work well as part of a team.
  • Demonstrated ability to exercise flexibility, initiative, good judgment, and discretion.
  • Demonstrated ability to work accurately and meet deadlines.
  • Demonstrated proficiency with Microsoft Office products, particularly Word, PowerPoint, and Excel.
  • Dependable transportation and willingness and ability to travel in-state and work nights and weekends in support of program activity.

PREFERRED QUALIFICATIONS

  • Prior experience working in a higher education setting in a university environment.
  • Demonstrated experience with financial processing and reporting systems such as Kuali.
  • Demonstrated experience with student administration systems such as Peoplesoft.
  • Demonstrated experience with Aurora Wordpress or similar content management system for building websites.
  • Demonstrated experience working with mature students.
  • Demonstrated experience working with various international populations.
  • Demonstrated experience using an application management system such as Slate.

APPOINTMENT TERMS

This is a part-time position (28 hours per week), based in Storrs.
