JOB SUMMARY
Under the direction of the Associate Director of Admissions, the Assistant Director of Admissions - Campus Visit Programs is responsible for the successful execution of the campus visit program and effective training of a group of 100+ student employees who provide campus tours and general guest services. Ensures successful operations of the campus visit program and visitors center with regard to staffing needs, programming, facilities, and hospitality. Supports the admissions strategic plan and university enrollment goals and objectives through the recruitment, review, and yield of prospective first-year and transfer students. Participates in recruitment events both on and off campus in which occasional overnight travel may be required; and evaluates undergraduate admission applications following established admissions criteria and processes. This position requires flexibility in work schedule to support recruitment initiatives to include weekends and evenings, and special events or holidays.
DUTIES AND RESPONSIBILITIES
- Primary administrative oversight, management, and operations lead for the daily campus visit program including oversight of 100+ student employees, planning the weekly tour schedule, ensuring our offerings meet demand for campus visitors and prospective students, and ensuring staffing is strategically aligned with demand and attention to responsible fiscal management.
- Develops and aligns tour content and programming under the direction of the Associate Director with attention to university strategic enrollment goals and prospective student experience informed by and with an understanding of competitor and national campus visit program's best practices.
- Plans and leads a comprehensive training program for student employees with the objective of presenting information to prospective students and guests in a way that puts the best interests of the university enrollment objectives and goals at the forefront of the campus visit experience. This includes major training events at the start of each semester, continual training programs through the academic year, and other training methods to best support the delivery of the best campus tour.
- Provides regular assessment, evaluation, and coaching to student employees for the delivery of the campus tour and overall performance through observation and feedback.
- Coordinates all communication in relation to the daily campus visit with prospective students and families to ensure the successful operation of the visit program.
- Ensures all students and professional staff are trained to perform high quality customer service in-person and via phone and email and are familiar with the policies, procedures, programs and communication for the Office of Undergraduate Admissions.
- Collects and analyzes data pertaining to the campus visit program from visit statistics, survey responses and student tour guides to build and maintain a high performing campus visit program that leads the nation in hospitality, experience, and supporting the enrollment of the institution. Builds reports based on this data that are easily understandable for internal and external constituencies.
- Develops and administers a ‘VIP tour’ program to provide concierge service in scheduling a campus visit for VIP guests directed by campus partners and other top prospects.
- Evaluates and processes admissions applications in accordance with University policies, goals, and rules on the admissibility of undergraduate students.
- Advises applicants and prospective students regarding admissions requirements, eligibility for admission, program options, residency requirements, and other matters related to admission to the University.
- Supports all admissions office functions related to the enrollment of the incoming first-year and transfer class each enrollment cycle which may include recruitment activities, events, application review, etc.
- Engages in in-state and/or out-of-state travel to recruit prospective students.
- Supports the group visit program and other recruitment activities of the campus visit team including Husky for a Day.
- Serves on office and division committees to represent the campus visit team as requested.
- On a rotating schedule, covers weekend and evening shifts to ensure smooth operations of the Lodewick Visitors Center and Office of Undergraduate Admissions.
- Performs other duties as assigned.
MINIMUM QUALIFICATIONS
- Bachelor's degree.
- 3-4 years of related professional experience.
- Experience with utilizing technology in work responsibilities.
- Strong organizational, interpersonal, verbal, and written communication skills.
- Demonstrated ability for accuracy and attention to detail.
- Demonstrated ability to work independently and as part of a team.
- Demonstrated ability to problem solve.
PREFERRED QUALIFICATIONS
- Experience with a campus visit program administration.
- Experience managing and/or training student employees.
- Experience working in the admissions or enrollment field.
- Experience with Slate CRM or related technology programs.
APPOINTMENT TERMS
This is a full-time, permanent position. It requires flexible and irregular hours and the ability to travel in-state and out-of-state for work functions. Salary Range: $58,656 to $61,150 and includes a comprehensive benefits package.
