JOB SUMMARY

The Faculty Activity & Policy Coordinator (University Education Assistant 2) is responsible for providing support to key academic and faculty affairs policies and procedures under the purview of the Provost and Executive Vice President for Academic Affairs. Reporting to the Executive Assistant to the Provost, this position collaborates closely with all members of the Provost’s Office staff as well as other administrative offices across the university including the Office of the Vice President for Research, Compliance, and General Counsel, among others. They will also be the main point of contact for faculty in areas such as consulting, faculty data reporting, and faculty related policies.

The successful candidate will be adept at planning and prioritization, tactful communication, and will possess a strong organizational background. This is a confidential staff position expected to maintain positive public relations and serve as an essential point of contact for academic affairs matters. The candidate must exhibit discretion, sound judgment, and acumen in obtaining and providing information.

DUTIES AND RESPONSIBILITIES

  1. Support the Faculty Consulting Office with routine review and approvals for specific aspects of faculty consulting requests and maintaining related policies and procedures. Responsible for assisting with any faculty consulting related reports or data requests as assigned.
  2. Serve as liaison between agents of the University and compliance offices engaged in conflict of interest and conflict of commitment management or oversight. Provide triage support to faculty and university offices regarding processes for the review and approval of external activities, including faculty consulting and faculty affiliated companies.
  3. Manage education, training, and outreach for faculty and university offices on topics related to the application of various university policies and state requirements related to engaging in external activities including consulting and faculty affiliated companies.
  4. Support faculty data activity reporting procedures and software including troubleshooting user issues with faculty and assisting with designing and implementing reports and processes as assigned.
  5. Facilitate the review, updating, and drafting of Academic Affairs policies and protocols, including working with the Responsible Officer to gather stakeholder input and approval by the appropriate university offices in line with state and other requirements.
  6. Support the Academic Program Approval Process including review of academic programming for student success, liaising with the Office of Higher Education on program inventory, and seeking approval of the Academic Affairs Committee of the Board of Trustees.
  7. Assist with special projects as assigned by the supervisor or Provost.
  8. Perform related duties as required.

MINIMUM QUALIFICATIONS

  • Bachelor’s degree.
  • 3+ years of demonstrated administrative experience.

PREFERRED QUALIFICATIONS

  • Master’s degree in public administration, higher education, business administration, or a related content area.
  • Experience working in a higher education setting.
  • Experience supporting an executive administrator.
  • Ability to problem solve, expertly manage time and deadlines and prioritize responsibilities.
  • Analytical skills including ability to use data tools and dashboards.
  • Excellent organizational skills and attention to detail.
