JOB SUMMARY
Under the general direction of the designated supervisor or administrator, assists managers, supervisors, and other personnel in routine administrative tasks for the Office of Organizational and Skill Development. The Administrative Program Support 1 position performs a variety of administrative tasks for a training and organizational development unit. The specific areas of responsibilities may include but are not limited to, assisting the Department Head in department matters, providing business support, entering and reporting data from a learning management system, loading classes into a learning management system, creating and updating a monthly course catalog, management of records and reports, customer relations, and maintaining supplies and equipment. The ideal candidate promotes equity and inclusion and has an understanding, sensitivity, and appreciation for social justice, cultural humility, and inclusiveness.
DUTIES AND RESPONSIBILITIES
- Provides general office support, including answering phones, Teams communications, and email, responding to inquiries, and directing communications.
- Communicates and collaborates positively with internal and external stakeholders.
- Coordinates a variety of data processing functions central to the department needs; schedules and produces routine computer reports from a learning management system and other computer applications.
- Creates classes, manages enrollments, learning records, and staff demographics in a learning management system.
- Creates a monthly course announcement and posts to the SharePoint site.
- Reviews learning and other records and data for accuracy, reconciles differences and works with other staff and university offices to identify errors and make corrections.
- Develops and improves business processes to create efficiencies and increase quality.
- Coordinates training initiatives like the DAS in-service catalog and other external vendor training.
- Edits, formats, and revises a variety of documents and materials created by others. Proofreads for grammatical, typographical, and basic content errors.
- Maintains schedules for managers, supervisors, and other personnel. Schedules conference and day-to-day travel for the department and processes reimbursements.
- Schedules complex meetings across internal staff and external partners by supporting training, meetings, and conferences, logistics for personnel including room reservations, coordination of materials, and security arrangements.
- Compiles data and prepares statistical reports used to monitor or assess department activities, programs, and services or project future needs.
- Monitors office supply inventory and coordinates maintenance for office equipment.
- Maintains records and prepares necessary reports.
- Assists in the preparation of budgets and monitors expenditures.
- Performs related work as required.
MINIMUM QUALIFICATIONS
- Associate’s degree in related field.
- Two to three years of related experience.
An equivalent combination of education and experience may be substituted for the degree and years requirement.
PREFERRED QUALIFICATIONS
- Experience providing administrative support for a large department.
- Excellent technology and computer skills including experience with Cornerstone or other Learning Management platforms, Microsoft programs and Office 365 (Word, Excel, Outlook, Teams, SharePoint, One Drive), Canva or similar design platforms, and SimpleBooklet or similar platforms, JIRA or similar project management platforms.
- Experience in working in a project management framework.
- Ability to communicate effectively with all levels within an organization and have strong interpersonal skills.
- Clear, positive, and professional written, verbal, and non-verbal communication skills.
- Excellent organizational and planning skills.
- Demonstrated ability to critically analyze and efficiently handle multiple tasks at one time.
- Demonstrated ability to manage multiple calendars and coordinate complex scheduling tasks.
- Proven experience maintaining a database and performing related reporting.
APPOINTMENT TERMS
This is a full-time, end-dated position with the possibility of renewal subject to performance and available funding and with hybrid schedule options. The University offers a competitive salary, and outstanding benefits, including employee and dependent tuition waivers at UConn, and a highly desirable work environment.
